Welcome

We're so glad you're here. The Woodlands Conservatory of Music is a place for students who want to study music seriously and as a whole: not just learning pieces, but understanding how music works, hearing it clearly, and performing it with confidence.

This handbook explains how studying with us works day to day. Please read it with your family and keep it handy. It works alongside our [Terms of Use] and [Privacy Policy]. If anything here is unclear, just ask.

Our Approach

Every student, at every level, studies four connected areas:

  • Theory – reading, writing, and understanding the structure of music.

  • Ear training – recognizing intervals, chords, rhythm, and melody by sound.

  • Repertoire – learning and interpreting music from a range of styles and eras.

  • Technique – building the physical skill, posture, and control your instrument or voice requires.

Performance ties these together. Students have regular chances to share their work, from informal studio classes to formal recitals.

Admission and Placement

Online study is open to students around the world. In-person study at our private studio in The Woodlands, Texas, is by invitation and application only.

New students typically begin with a Discovery Call, followed by a placement lesson or audition so we can understand the student's goals and current level. We then recommend a lesson length, schedule, and course of study.

Lesson Formats

  • Private lessons – one-on-one instruction, online or in person.

  • Group classes – theory, ear training, or ensemble sessions when offered.

  • Studio classes and masterclasses – opportunities to perform for peers and receive feedback.

Lesson lengths are generally [30, 45, or 60] minutes. Your teacher will recommend the right length as the student progresses.

Calendar and Scheduling

Our [Academic Calendar] lists lesson weeks, holiday closures, recital dates, and exam windows. Your weekly lesson time is reserved for you. Schedule changes depend on availability; please request them by email at least [one week] in advance.

Attendance, Cancellations, and Makeups

Consistent attendance is the foundation of steady progress.

  • If you need to miss a lesson, please let us know at least [24 hours] ahead by [email/text].

  • Makeups for student absences are offered as a courtesy, with at least [24 hours'] notice, up to [___] per [term/semester], and must be used within [30 days]. No-shows are not eligible for a makeup.

  • If we cancel a lesson, we will offer a substitute, a rescheduled lesson, or an online lesson.

  • Late arrivals will end at the regular time so the next student's lesson isn't affected.

  • Holidays and weather closures: there are no makeups for scheduled holidays or up to [2] weather or emergency closures a year. If the studio closes for weather, we may move lessons online.

Practice Expectations

Lessons show you what to do; practice is where learning happens. As a general guide:

  • Beginners: [15–20] minutes a day, 5–6 days a week

  • Intermediate students: [30–45] minutes a day

  • Advanced students: [60] minutes or more a day

Your teacher will give you a written practice plan each week. Please bring it to every lesson. Quality matters more than minutes: slow, focused practice beats long, distracted sessions.

What to Bring

  • Your instrument (if portable) and any accessories

  • Assigned books, music, and your practice notebook

  • A pencil

  • For online lessons: a charged device, stable internet, and your instrument set up before the lesson begins

Books and materials may be ordered for you and billed to your account.

Progress and Assessments

We check progress regularly so students and families always know where things stand. This may include:

  • Mid-year and end-of-year progress reviews

  • Optional preparation for graded exams, such as [RCM / ABRSM / other]

  • Juries or informal performance assessments for advanced students

Recitals and Performances

Performing builds confidence and gives students a goal to work toward. We host [two] recitals a year, plus studio classes and other performance opportunities. Participation is strongly encouraged. Some events may carry a separate fee. Recital dress is [business casual / concert black]. Please arrive [20] minutes early and stay for the full program to support fellow students.

Online Lesson Guidelines

  • Join a few minutes early from a quiet, well-lit space.

  • Position your camera so your teacher can see your hands, posture, and instrument.

  • Keep other tabs, apps, and notifications closed.

  • For students under 18, a parent or guardian should be home and reachable during the lesson.

Studio Guidelines (In-Person)

  • Arrive no more than [10] minutes early and wait in the designated area.

  • Wash hands before lessons, especially before playing shared instruments.

  • No food or drink near instruments; water in a closed bottle is fine.

  • Siblings and guests must be supervised by an adult at all times.

  • Parents or guardians of minor students must be on time for pickup.

  • Please respect our neighbors when arriving, parking, and leaving.

Parents and Families

Family support makes a real difference. You can help by setting a regular practice time, listening to your student play, attending performances, and keeping in touch with your student's teacher. Parents and guardians are welcome to observe lessons [at the teacher's discretion / by arrangement].

Communication

We communicate by [email, text, and our student portal]. We aim to reply within [one business day]. Please keep your contact information up to date. For lesson-related questions, contact your teacher; for billing and scheduling, contact [email].

Conduct and Respect

We hold our studio to a high standard of respect. Students, families, and guests are expected to be courteous to teachers, staff, and one another. Bullying, harassment, discrimination, or abusive language are not tolerated, online or in person. Repeated or serious concerns may lead to a conference, a suspension of lessons, or withdrawal from the program.

Safety and Student Protection

The safety of our students comes first. [All instructors complete a background check.] Lessons with minors take place in rooms with open doors or windows, or on recorded online platforms. Teachers communicate with minor students only through approved channels that include a parent or guardian. Please tell us about any allergies, medical needs, or other information we should know to keep a student safe.

Photos and Recordings

We may record lessons for teaching purposes. We won't use a student's photo, name, or recordings in marketing without written permission. Please don't record or share lessons, masterclasses, or other students' performances without asking first.

Tuition, Billing, and Withdrawal

Tuition, fees, payment dates, and withdrawal notice requirements are set out in our [Terms of Use] and your enrollment confirmation. In short, tuition is billed in advance, missed lessons don't reduce tuition, and you may withdraw with written notice before your next billing date.
